PRESIDENT/CO-PRESIDENT
1. This position involves a 2-year commitment of time, serving the first year as Vice
President and the second year as President.
2. The President will attend all PTO board meetings via skype and will chair all board
meetings.
3. The President will set dates for all board meetings and schedule the meeting
times and announce times via email to all members.
4. The President is the liaison between the parents, students, Soft Mozart and Hellene Hiner.
5. The President will oversee all committees operating under the PTO.
6. The President will be responsible for recruiting volunteers to serve in the PTO.
7. The President will receive nominations for open board positions and assist the Nominating
Committee in filling all open positions.
8. The President will coordinate New Student Orientation dates and agenda with Hellene
Hiner.
9. The President will coordinate Teacher Trainings dates with Hellene Hiner.
10. The President will coordinate with Hellene Hiner in developing the Soft Mozart Academy.
11. The President will submit a President’s report to Hellene Hiner's blog every June.
12. The President will work with the other Officers to facilitate the activities of PTO.
VICE-PRESIDENT/CO-VICE PRESIDENT
1. This position involves a 2-year commitment of time, serving the first year as Vice-President
and the second year as President.
2. The Vice-President will assist the president in carrying out his/her duties.
3. The Vice-President will take over for the President in the event the President
cannot continue with their duties.
4. The Vice-President will attend all PTO meetings and will chair any meetings
in the absence of the President.
5. The Vice-President will read the Treasurer’s Report, the Secretary’s Minutes or
Announcements from the previous meeting in the absence of that Officer.
6. The Vice-President will ensure that all Committee Chairs for the upcoming school year
are filled or will ask for volunteers at the PTO meeting in May.
7. The Vice-President will work with the other Officers to facilitate the activities of PTO.
SECRETARY
1. This position involves a 2-year commitment of time, serving both years as Secretary.
2. The Secretary will attend all PTO meetings and record the proceedings. At the meeting,
the Secretary will read the prior month’s minutes for approval by PTO’s membership.
In addition to the foregoing, the Secretary will preserve minutes for future reference
and transfer all records to the next elected Secretary.
3. The Secretary will receive all correspondence and if necessary, acknowledge such
correspondence for the membership. The Secretary will attend all meetings and
read all correspondence, if appropriate. Correspondence is not required to be
saved after being read to members at a PTO meeting.
4. The Secretary will handle all correspondence, including, but not limited to, thank you’s,
invitations, preparing announcements for upcoming meetings to be distributed
through email and on the Website.
5. The Secretary will work with the other Officers to facilitate the activities of PTO.
6. The Secretary will submit minutes to board members within (7) days of the board meeting.
Committee Chairperson
1. This position involves a 1-year commitment of time, serving as Committee Chairperson.
2. The Committee Chairperson will be responsible for coordinating one of 4 committees:
Marketing and Public Relations, Scholarships, Forums and Music Literacy, and
Special Needs.
3. The Committee Chairperson will attend all Board meetings and all meetings related to
their committee.
4. The Committee Chairperson is the liaison between their committee and the Board
president.
5. The Committee Chairperson will organize committee meetings and notify committee
members of dates and times.
6. The Committee Chairperson will submit a monthly report, no later than the last day of
the month, to the PTO President.
7. The Committee Chairperson will work with the other Officers to facilitate
the activities of PTO.
Non-Board Membership
1. This position involves a 1-year commitment of time assisting the PTO on or more
committees.
2. This position will require about ½ to 1 hour per week.
